Black Warrior - Tombigbee Waterway Project (Tuscaloosa, AL)
R&D Maintenance Services, Inc. provides operations and maintenance services on U.S Army Corps of Engineers projects throughout the southeast - since 1980. We are the Operations and Maintenance Contractor for the Black Warrior – Tombigbee Waterway Project providing machinery and facility maintenance and repair on several hundred miles of waterway, multiple recreations areas, and 9 locks/dams/spillways on the system. GENERAL DESCRIPTION:
This position is responsible for performing one or more routine accounting clerical operations such as: creation of weekly timesheet/ payroll import file; maintain activity logs; processing new hire paperwork; examining, verifying, and correcting various accounting documents to ensure completeness and accuracy of data in accordance to accounting procedures. Completed work will be reviewed for accuracy and compliance with procedures.
ILLUSTRATIVE TASKS:
- Process and review weekly employee timesheets and time off sheets for transmittal to home office; ensure employee and supervisor signatures.
- Create weekly payroll import file and weekly payroll summary report by entering data from employee timesheets; verify project coding, including entering data and verifying project coding; timely submission to home office.
- Update and maintain weekly Project sick time & vacation time trackers; Maintain and review for accuracy employee attendance calendar sheets .
- Process new hires paperwork; complete I9s and New Hire reporting, ensure benefits enrollment applications are fully completed, transmission of all personnel paperwork to home office; prepare personal status forms for supervisor approval when changes occur and ensure transmission to home office.
- Maintain employee personnel files in a secure manner; maintain confidentiality of personnel information and data.
- Assist with initial employee inquiries on payroll and benefits.
- Maintain employee list with employee numbers; Maintain job applicant logs.
- Assists with Work Order system – printing, closing, reporting, etc.
- Primary person for answering incoming phone calls, greeting visitors, and answering front gate intercom/access requests.
- Maintain a basic filing system. Provide information from files as requested following approved guidelines. Compose correspondence of a routine nature and perform copying, mailing, filing and typing duties Packing/Shipping items as necessary.
- Other similar duties as assigned including help with minor purchasing as needed; provides back up support for the Accounts Payable Clerk.
- Maintain a neat and clean office environment.

- Ability to accurately and efficiently perform standard arithmetic functions and accounting entries and meet associated deadlines.
- Strong oral communications and interpersonal skills including ability to listen to and interact with a diverse group of people.
- Ability to respond to varied requests and perform several duties at the same time.
- Ability to respond to visitor inquiries in a professional manner.
- Excellent written and oral communication skills (English).
- Ability to perform duties with speed and accuracy without constant supervision.
- Ability to maintain a good working relationship with coworkers, clients and the public and to use good judgment in recognizing scope of authority.
MINIMUM QUALIFICATIONS/REQUIREMENTS:
- High school diploma or GED plus some college-level coursework in Accounting with 1 year experience related to accounting procedures and timesheet/payroll reporting procedures; or high school diploma or GED with 3 years demonstrated success as an accounting/payroll clerk.
- Prior experience working with government agencies preferred.
- Fast and accurate data entry, mathematical calculation, and typing.
- Proficient in office productivity software including MS Office (Word, Excel, and Outlook), Adobe Acrobat, etc.; QuickBooks experience helpful.
- Candidate must be able to pass a drug screen and a federal background check.
PHYSICAL REQUIREMENTS:
- Primarily seated work, but with frequent walking and standing.
- Occasionally lifts/carries up to 10 pounds with occasional lifting up to 20 pounds; occasional pulling up to 20 pounds.
- Vision, speech and hearing sufficient to perform essential tasks.
- Professional appearance including dress code as require by the applicable government facility.
